Prices per indoor unit, and cheaper per unit when there are several on one site. Server rooms normally need four visits a year rather than one or two. A one off service without a plan is £129 for a single unit.

The legal side, in plain English

Two sets of rules catch out business owners, and both put the duty on whoever operates the building rather than on the company that fitted the system.

F-Gas leak checks

Systems are measured by how much refrigerant they hold, converted into tonnes of CO2 equivalent. Once a system reaches 5 tonnes, the operator has to arrange leak checks by a qualified engineer and keep records.

With R32 that 5 tonne line sits at roughly 7.4kg of refrigerant. A home split holds one to two kilos, so no checks are due. A commercial VRF usually sits well over the line, and hermetically sealed units under 10 tonnes are exempt either way.

TM44 inspections

If you own or manage a building with air conditioning over 12kW of effective rated output, an accredited energy assessor has to inspect it at least every five years, with the first inspection within five years of the system going into service.

Four 3.5kW cassettes in an office already cross that threshold. The report goes on the national register and the duty sits with the building owner or the person controlling the system.

How warranties actually work

Manufacturer warranties are parts only and run from five to ten years depending on the brand and on the installer's accreditation level with them. Labour is separate and comes from the installer.

Servicing, answered

What happens if I skip a service?

Two things. The system gets less efficient, because a blocked filter and a dirty coil make the compressor work harder for the same cooling, and you pay for that on the meter every month.

The bigger one is the warranty. Every manufacturer makes annual servicing a condition of their five to ten year cover. Miss it and a compressor failure in year four stops being their problem and starts being your bill.

What actually happens on a service visit?

Filters out and washed, indoor and outdoor coils cleaned, condensate tray and drain cleared and tested, refrigerant pressures and temperatures checked against the design figures, electrical connections checked for heat damage, fan bearings listened to, and the controls run through every mode. You get a written report with the readings, not just a tick.

Can you service a system somebody else installed?

Yes, and a lot of our service work is exactly that. The first visit takes a little longer because we record what is there, check it was installed properly and note anything that needs putting right. If we find something dangerous or badly done we tell you plainly, with photographs.

How often does a system need servicing?

Once a year for a home. Twice a year for most commercial systems, which is what the manufacturers specify in a working environment. Four times a year for server rooms, where the kit runs at full load every hour and nobody is in the room to notice a problem.

Do I have to take a contract?

No. One off services are £129 for a single unit, which is more than the plan price because we are fitting you in rather than routing you into a planned run. The plans exist because they are cheaper for you and easier for us to schedule, not to tie anybody in.
